Description:
Provides general administrative and clerical support of a responsible and confidential nature for the head of a major function area; Performs work under general supervision and requires some independent judgment
Job Summary:
- Works collaboratively with staff and other departments to ensure smooth function of the department
- Serves as the liaison between supervisor and internal/external offices
- Organizes and expedites flow of work through supervisor’s office, initiates follow-up action and follows up on pending matters
- Prepares complex correspondence, reports, and presentations using advanced office technology
- Collects and compiles budgets, statistics, and information from identified sources
- Schedules appointments and coordinates arrangements for meetings, conferences and travel through interaction with customers, suppliers and employees on behalf of supervisor
- Receives and screens telephone calls, letters and/or visitors; answers routine questions and furnishes information on behalf of supervisor
- Maintains departmental records, files, and office supplies
May independently compose routine letters and memoranda for supervisor’s signature
May provide training for new clerical support employees
Performs other duties as assigned by the appropriate administrator Qualifications:
- High School Diploma or GED required
- Typing speed of at least 30 NWPM and at least 70% on a Clerical Skills test required
- Proven ability to handle confidential information
- Must be detail-oriented and able to multi-task
- Ability to compose and compile correspondence from a variety of sources
- Ability to exercise sound judgment
- Ability to analyze and determine the applicability of bookkeeping data, draw conclusions and make appropriate recommendations
- Must be able to work independently
- Proficient in Microsoft Office
- Ability to work and provide excellent customer service in a fast-paced environment
- Excellent organizational skills and customer service skills
- Excellent communication skills both written and verbal
Required Experience:
- Minimum of 5 years clerical/administrative experience; Experience with SAP HR/Payroll/Purchasing systems preferred
