Academic Affairs Specialist

 

Under the primary direction of the Director of Student Support Services and secondary direction of the Coordinator of Student Discipline, the Academic Affairs Specialist will primarily be responsible to perform functions related to Student Support and Discipline.

 

Location: Welcome Center

 

Responsibilities : (1) Complete secretarial functions related to student support, homeless, registration, discipline, and general Welcome Center facility needs; (2) Type and process communications; (3) Maintain documentations in an organized manner; (4) Maintain fiscal record keeping at the school level for all accounts and budget expenditures as directed; (5) Input requisitions and oversee ordering and delivery of school improvement funds and other grants as assigned at the district level; (6) Follow-up with purchase orders once entered; (7) Oversee full process of expenditures entered, processed, items received, invoices process and CIMS reconciliations once PO are closed; (8) Work cooperatively with accounts payable to trouble shoot any discrepancies of past orders; (9) Process expenditure reports as requested; (10) Provide school administrators with support in understanding and maintaining district policies related to student discipline; (11) Maintain confidentiality of all document pertaining to student discipline, community partnership, homeless, and community partnerships;  (12) Schedule district facilities for workshops and meetings; (13) Maintain a schedule and calendar for the meeting rooms at the Welcome Center; (14) Distribute the mail and paychecks delivered to the Welcome Center;  (15) Maintain accessible files; (16) Act as a liaison between the public and the office, in such a manner as to present a positive image of the total school district; (17) Provide quality service to parents, students, teachers and administrators; (18) Assist with other activities in the division such as: summer school, student assessment, material ordering, tasks related to Choice/SES; and (19) Perform other duties as assigned.

 

Qualifications :    (1) Good communication, organizational, computer and interpersonal skills required; (2) Preferred ability to work with data from multiple computer environments including Windows based PCs, district-wide networked systems, and web-based applications; (3) Ability to care for minute details and editing skills to ensure reliable and accurate results; verifying information for accuracy; (4) Effective and efficient word processing skills with knowledge of Microsoft Office suite of programs; (5) Ability to plan, organize schedule, ands manage documents in a timely and effective manner; and (6) pass the district's secretarial test

 

Salary: Class SP/ 12 Month
