SUMMARY: Coordinates student data systems to meet school and district requirements, provides support/training to district personnel in the use of the administrative systems and other related software, coordinates assessment operations, assists in identifying systems integration, and supervises those who assist with workload.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

Supervision

Supervises and trains ACE Enrollment/Census, Welcome Center Clerk, including casual temp positions as needed. In addition provides training for site staff as required. Assumes lead as liaison with other staff, departments, or outside agencies in coordinating requests or needs in resolving student information system related issues and integration of systems. Promotes communication between users and management personnel. Assists Directors with delegated responsibility for special projects, programs, or events.

Information Systems

Designs and maintains databases and related lists, records, and forms related to student enrollment and related student information system databases. Generates and customizes computer forms and reports using a wide range of software programs (e.g. Microsoft Word and Excel, Access, Cognos). Researches and collects materials regarding better use of the school administrative software and related data; working closely with other departments to provide consultation for information systems. Maintains updates, sorts and files records, reports, forms, and correspondence manually or on database; assists in compiling, preparing, and revising department reports. Sets up and manages security of the TIES systems ensuring data confidentiality and system integrity.

Assessment

Assist in the implementation and coordination of a K-12 district assessment plan. Provide and/or coordinate training for support personnel in areas related to testing and data analysis. Maintain district data and update coding for state standardized testing for all schools in district. Migrate data to and from online testing sites and the local student information system. Manage materials orders and returns for standardized testing. Provide assistance including account and password support for online testing initiatives.

Assist sites in testing processes and in securing and organization of data included in school improvement plans. Provide information to stakeholders in a timely manner concerning assessments and student data. Assist Director of Assessment in the analysis and communication of assessment schedule, expectations, and test results to community, schools and district programs.

SUPERVISORY RESPONSIBILITIES: This position supervises the ACE Enrollment/Census clerks, Welcome Center Clerk, including casual temp positions as assigned.

 

QUALIFICATION REQUIREMENTS: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. EDUCATION and/or EXPERIENCE: Bachelor's degree or equivalent from four-year college; or at least five years of school district experience and/or training

 LANGUAGE SKILLS: Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.

 MATHEMATICAL SKILLS: Ability to add, subtract, multiply and divide in all units of

measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.

 REASONING ABILITY: Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.

 OTHER SKILLS and ABILITIES:

Computerized database knowledge with skills in extracting data for use in Word, Excel, and Access

Develops and delivers training, documentation, and technical assistance.

Attends meetings, conferences and other engagements and maintain current knowledge and skills.

Ability to utilize and maintain external and internal web-based tools.

Interpersonal skills, including ability to work well with others, be polite, helpful, courteous and compassionate.
