High School Diploma or GED

Five (5) years of clerical/secretarial experience; or equivalent combination of training and experience

Verified ability to type from clear copy at the rate of 65 W.P.M. with accuracy (Certificate of Proficiency)
Preferred:
-
One (1) year clerical/secretarial experience with supervisory responsibility

Demonstrated ability to use Excel, Lotus Notes, IBM Computer, Internet and access Infinite Campus
-
Previous secondary school experience
-
Demonstrated knowledge of district operations and organization
Other Qualifications/Skills:
-
Hold a Medication Certification or obtain within three months of appointment (Pueblo City Schools Health and Wellness office) Verified data entry, spreadsheet, and word processing skills, including but not limited to, mail merge, labels, and columns

Demonstrated ability to take minutes at meetings

Demonstrated ability to compose clear, concise letters and memos and format reports
-
Verified excellent proofing skills

Demonstrated ability to make decisions in accordance with established policies and procedures

Demonstrated ability to set up and coordinate conferences, training sessions, workshops, and meetings

Demonstrated ability to establish and maintain a professional/effective working relationship with staff, administrators, parents, students, city/county officials, and other community members

Demonstrated knowledge of English, proper grammar, style, syntax, spelling, and punctuation

Demonstrated ability to prioritize, plan, organize, and execute work effectively using independent judgment

Demonstrated ability to communicate effectively, both orally and in writing

Responsibilities:

Perform general office duties; keep an accurate and up to date filing system; operate appropriate office equipment; cordially answer telephone calls; make appointments take messages
-
Screen incoming calls and correspondence and refer to appropriate staff for action
-
Maintain confidentiality in all aspects of assignments
-
Prepare, check accuracy and code all requisitions, travel expense reports, time reports, and other authorized expense requests for approval by the Principal
-
Use computer for word processing, E-mail, work orders, supply requests, purchase orders, data processing requests, etc.

Perform all duties necessary to maintain the TSSI Employee Absence Tracking System
-
Perform all duties related to committees, conferences, assemblies, and meetings as assigned by the Principal
-
Prepare agendas, minutes, mailings, and notification for committee meetings
-
Correct grammatical errors, punctuation, and sentence structure of draft copies and proofread final copies of all material sent from the Principal/Assistant Principal(s)

Copy documents, appraisals, etc.
-
Provide clerical support to other staff as needed
-
Purchase supplies and assist with budgets and expense reports as assigned
-
Prepare bulletins and newsletters for staff and patrons
-
Process and distribute all school and U.S. Mail
-
Handle all correspondence and assist with reports, including but not limited to North Central Annual Report, School Improvement Plan, etc.

Responsible for facilitating graduation, diplomas, and graduation seating procedures
-
Prepare teacher handbook/materials for beginning of school year
-
Coordinate school opening and closing procedures
-
Prepare student handbook, and information sheet regarding student rules and regulations, for distribution to student body
-
Prepare and maintain teacher master schedule for the school year
-
Maintain file of all District policies and procedures
-
Type summary teacher appraisal forms
-
Inventory new textbooks, supplies, and materials received during summer months
-
Maintain building equipment inventory and report changes to Central Administration
-
Assist with promoting the health and safety of students
-
Perform any and all other duties as assigned by the principal
