:  Full-time, 8 hours, 8:00 a.m. - 4:45 p.m.; 260 days 

CLASSIFICATION:  C-4-1
SALARY:  Entry level, $38,356

 

The Community Education Office Manager coordinates the functions and tasks of the Community Education Office providing confidential support and assistance to the Executive Director.  This position supervises,develops and trains enrichment clerical staff and acts as liaison to  all Community Education staff members for coordinating, assigning and delegating clerical work tasks.


Job Summary: *Interview and select clerical and support staff *Supervise, develop and train enrichment clerical staff. *Appraise productivity; handling employee grievances or complaints, or disciplining employees *Monitors work for legal and regulatory compliance *Act as liaison between Director, managers, coordinators and clerical staff to direct work flow. *Determine office proceedures, direct work flow for clerical staff, and determine equipment and materials to accomplish the work. *Plan and monitor budgets for staffing, materials and equipment. *Plan the work, apportion work among employees and schedule work assignments of clerical personnel and support staff. *Maintain non-duty day calendars for clerical and coordinator staff, create and maintain calendar for main office coverage. *Provide confidential administrative assistance to the Executive Director and support all assignments given to the Executive Director. *Assist with emergencies when they arise. *Handles confidentional correspondence and email. *Works with Superintendent and Cabinet support staff to prepare materials for Leadership, Cabinet, and School Board. *Create reports based on data collected from Community Education staff, school sites and community partners and prepares annual reports to meet state and federal requirements.  *Schedules and prepares for Community Education meetings (Citizens Advisory Council and MCEA) by preparing documents such as agendas, minutes, meeting correspondence. *Prepare registration materials, student records, activity calendar and general support for Summer of Service Program. *Write original correspondence, gather, verify and compile statistical data from program staff, complete documentation for presentation to staff and public, and for reporting to local, state and federal funding sources. *Accepts and performs other tasks within the level of responsibility indicated above as assigned by supervisor.


Qualifications: *Experience in Community Education or a related field with strong organization and public relation skills *Experience providing work direction required, experience supervising the work of others preferred *Excellent time management, problem solving, interpersonal, oral, and written skills *Demonstrated leadership skills and ability to work collaboratively in a team setting *Ability to manage day-to-day activities of an office and problem-solve under stressful conditions *Knowledgeable and proficient in technology including: data management software programs, Word, PowerPoint, and Outlook.  *Preferred experience with Activenet *Demonstrated technical experience and ability to learn and teach new products
