Job Title:
Adult Education Administrative Assistant
Term of Employment:
Twelve month contract

POSITION
DESCRIPTION:
The job of the
administrative assistant is established to provide a wide
variety of highly responsible, confidential and complex
administrative and secretarial duties for the adult and
community education programs.
ESSENTIAL
Functions:
ADULT EDUCATION
-
Assist with adult education reports.
-
Register, pre and post-test adult education
students.
-
Prepare diagnostic information for
teachers.
-
Advise and counsel students on GED test
preparation.
-
Enter CMATS data for all students and
generate reports on attendance, progress, and special
populations.
-
Assist students with registration for GED
tests and submit information to testing center.
-
Assist students with securing copies of
their GED transcripts and their diplomas.
-
Submit test results for WIA students to the
local career center.
-
Serve as receptionist for adult education
office.
-
Assist with publicity for program (newspaper
articles, class schedules, brochure preparation,
etc.).

Serve as GED chairperson for graduation
activities.
·
Send correspondence to teachers, prospective
students, and literacy council members.
·
Assist literacy council with
fundraising.
·
Serve as secretary for advisory council.
·
Assist in adult education classrooms as
needed.

Maintain computers in AE classrooms and
offices.

Research websites for GED and basic skills
preparation.
·
Assist with Imagination Library
paperwork.
·
Assist with preparation of booths for fair and
other community events.
·
Maintain AE website and Facebook
page.
·
Maintain databases for GED graduates, WIA
students, and addresses of all students.
·
Other duties as
assigned.
JOB REQUIREMENTS:
Minimum
Qualifications
SKILLS are required to perform multiple tasks. Specific
skill-based competencies are required to perform the
functions of the job include: operating standard office
equipment including utilizing pertinent software
applications, preparing and maintaining accurate records, and
planning and managing projects.
KNOWLEDGE is required to read technical information, compose
a variety of documents, and/or analyze situations to define
issues and draw conclusions. Specific knowledge based
competencies to perform the functions of the job
include: business telephone etiquette and concepts of
grammar and punctuation.
ABILITY is required to schedule a number of activities;
gather, collate, and classify data. Flexibility is
needed to work independently or with others. Specific
ability-based competencies required to satisfactorily perform
the functions of the job include: adapting to changing
work priorities; communications with diverse groups;
maintaining confidentiality, meeting deadlines and schedules;
setting priorities; working as part of a team and working
with frequent interruptions.
