Reports to

Summary :
Perform a wide range of administrative and office management
support
activities
that facilitate the efficient
daily operation of the department.
Performance Expectations:
Maintain operational and
communication link between the department staff and
the district.
Coordinate the work flow and
arrange and record minutes of departmental meetings
and
other gatherings.
Assist with the upkeep and
publication of departmental policy and procedural
manuals
and other
technical documentation.
Provide overall general office
keeping, such as maintaining the inflow and outflow of
services, arranging
for repair and maintenance of
office equipment, receiving, storing
and maintain
inventory of appropriate
departmental supplies and
equipment, sending/
receiving/sorting mail
and other
communications/deliveries,
creating and maintaining
necessary office documents;
such as purchase requisitions,
analysis/reports,
data
sheets, etc.
Interact with vendors and district
stakeholders to track and schedule department
appointments.
Maintain the department's web
presence, calendar and other public
relations/communication
devices.
Support the departmental staff in
other activities as assigned
.
Required Knowledge, Skills and Abilities:
Effective technical and
communication writing skills
Ability to operate basic office
equipment such as, computers, copiers, calculators,
printers
Demonstrated organizational and
interpersonal communication skills
Ability to maintain
confidentiality in all aspects of the operations of the
department
Ability to interact with and
understand the group dynamic
Ability to carry out oral and
written communication with a minimum of supervision
General knowledge of computer
skills and knowledge of relevant software

administrative procedures and systems such as

record
keeping

Employment Standards/Minimum Qualifications:
High school diploma
Minimum of 3 years of experience
in office management preferred
Proven experience in Microsoft
Office Productivity Suite,
MS Office specialist certification
a plus
Help desk and support service
model experience preferred
