Job Summary:
Under the general supervision of Director of Business Affairs and the Supervisor of Business Affairs this position requires to register students, setup transportation for students, and serve as the homeless liaison for the district.
Responsibilities:
- Verifies school district boundaries
- Informs the school communities of registration dates and times via media outlets, website, cable, newspaper ads, posted notices in accessible public venues, flyers given to students, signs posted outside school buildings and district wide mailings
- Informs parents/guardians of residency requirements of the school district
- Updates and distributes informational forms, notices and residency checklist
- Researches background information submitted to determine validity for admission to district schools
- Investigates allegations of illegal registrations
- Coordinates random residency verification of students
- Sends written notification to parents/students that their residency status is in question as directed by the Superintendent of schools
- Contacts parents and the owners of the resident/property to request additional documentation as proof of residency within the school districts boundaries
- Conducts site surveys
- Submits residency investigation reports to the appropriate administrators
- Participates in the residency hearing process as directed
- Oversees District-wide enrollment process for both regular and special education students during open registration before the beginning of the school year and continuing until school year ends
- Identifies students who are McKinney-Vento Eligible
- Coordinates placement/school assign of special education students with the Special Education Department
- Advises Director of Business Affairs of new processes and procedures/suggest changes to improve efficiency
- Orders all supplies/materials needed for registration (copiers, computers, forms, office supplies, wall signs, etc.)
- Provide a list of the registration staff to the appropriate administrators
- Schedule meetings/trainings with registration staff prior to the start of open registration
- Monitor/Supervises registration staff sign in/sign out and collects and distribute time cards
- Coordinates with local police to ensure security
- Request students transfer information from sending schools
- Monitors student enrollment count per classroom in accordance with the Director of Curriculum and Instruction to prevent overcrowding
- Forecasts student population projections
- Maintains documentation of students who owe a balance for textbook rental fees at registration
- Coordinates transition of students who receive NCLB transfers/Choice options as direction by the Director of Curriculum
- Assists in setting up bus routes
- Provide parents and schools with bus route information
- Act as transportation liaison between parents, schools, and the bus company
- Provides information and assist as needed during the preparation of transportation bid
- Prepares transportation invoices for payment
- Arrange and monitor transportation services for McKinney-Vento eligible student
- Arranges transportation for school field trips, school sport events, gifted program, after school programs and band
- Maintains documentation for all student transportation services
- Coordinator with community service organizations for students who need assistance
- Purchase uniforms as requested for students in need
- Maintain a digital copy of students records who have graduated or transferred out of the school district
- Codes students who are McKinney-Vento eligible in the student database system
- Answers all phone/e-mail/walk-ins etc. inquiries concerning, student admissions, residency verification, student admissions, residency verification, student transportation, intra-district transfer request, and all other questions regarding district operations relating to students
- Attends informational workshops/training as needed
- Monitors accuracy of student information contained in the student data base system in accordance with Illinois State Board of Education random audits
- Completes all other duties as assigned by the Superintendent, Assistant Superintendent of Special Education, Director of Curriculum, Director of Business Affairs and the Supervisor of Business Affairs
- Consistently works to promote a positive work environment with other staff members while providing the most effective services needed for our students and all community stakeholders
- Performs all other duties as assigned by the Superintendent or designee
Qualifications, Skills, and Abilities
- Minimum Bachelor degree or two (2) years of related General Office, Secretarial, Registration and/or Transportation experience preferred
- Possess previous work experience in the areas of registration and/Transportation
- Analytical, Data Entry, and Thoroughness Required
- Maintain work-place confidentiality
- Ability to respond to oral and written directive
- Reporting Skills, Verbal Communication, and Organization
- In addition, but not limited to, other functions, duties and responsibilities
Physical Activities: This job requires frequent walking, standing and some driving to check on bus transportation and stops
Work Environment: Work area may contain various sound levels; work is performed in an environment where unusual temperatures may occur
Evaluation: Performance of this job will be evaluated in accordance with the requirements of the SPA Contract.
