Salary: will be determined on experience (minimum $13.68/hr)
Duties & Responsibilities: (Essential Functions of Position, Major Responsibilities, Summary of Key Duties, Special Assignments, Relationships)
· Is knowledgeable enough in Human Resources to answer public inquiries, provide information and screen calls
· Anticipates, initiates, completes and follows through on a variety of projects
· Prepares and maintains reports/databases that are necessary to carry out the functions of the Human Resources department
· Maintains the HRIS database (IFAS) and generates scheduled or requested reports to assist management
· Periodically audits the database to ensure accuracy
· Serves as a resource for interpretation of labor agreements
· Assists with the day-to-day efficient operation of the HR office
· Participates in developing department goals, objectives, and systems
· Assists in the development and updating of the Human Resources section of the Web site
· Keeps employee records up-to-date by processing employee status changes in a timely manner
· Maintains personnel files in compliance with applicable legal requirements
· Prepares paperwork required for new hires and establishes personnel file
· Assists in the development and implementation of an employee handbook and new personnel policies and procedures
· Develops and processes correspondence and reports from raw data
· Produces reports, notices and recommendations as requested
· Obtains, gathers and organizes pertinent data as needed and puts it in usable form for various purposes
· Other duties as assigned by the HR Director or Associate Director
Physical Requirements of Position: (HBV Yes No)
· Ability to routinely lift/carry office supplies and printed materials weighing up to 25 pounds, occasionally lift up to 50 lbs.
· Ability to hear and understand speech at normal levels in person and/or on the telephone
· Ability to communicate so others will be able to clearly understand a normal conversation in person and /or on the telephone
· Ability to operate computer, calculator, copy machine, telephone, and other office equipment with dexterity and in a safe and efficient manner
· Ability to ascend and descend stairs
Special Qualification Desired: (Personal Qualities, Education, Skills Needed, Experience, Etc.)
· Documentation of extended learning experiences beyond high school diploma (e.g. CPS/PSPC, AA or BA)
· Five successful years of Secretarial/Administrative Assistant experience
· Proficient in PC use, including proficiency in Microsoft Office and ability to quickly learn HR software programs
· Effective communication skills, expertise in written and verbal communication including correct grammar
· Proven expertise at taking the initiative to accomplish projects
· Willingness to cross-train within the department and the ability to adapt to change
· HR experience preferred |
