Duties & Responsibilities: (Essential Functions of Position, Major Responsibilities, Summary of Key Duties, Special Assignments, Relationships)
Salary: will be determined based on experience (minimum $13.68/hr)
· General Responsibilities: Oversees the operation of the Equity, Records, Achievement, Drop-out
· Manages payroll for office staff
· Monitors and maintains budgets and accounts for office
· Maintains inventories of supplies/materials for office
· Maintains, documents files and records for the purpose of providing up-to-date reference and audit trail for compliance
· Prepares written materials (e.g. agendas, minutes, reports, manuals, and letters) for the purpose of documenting activities, providing written reference and/or conveying information.
· Responds to inquiries from a variety of internal/external stakeholders (e.g. staff, parents, community and public agencies) for the purpose of providing information, facilitating communication and/or providing direction
· Must possess the skills to analyze/complete tasks without direct supervision/oversight
· Screens incoming calls and correspondence and responds independently when appropriate
· Must be able to create an environment that is welcoming/helpful/courteous to all
· Completes other duties and special projects, assignments as assigned
Special assignments: Anticipates, initiates, completes and follows-through on a variety of projects with overlapping deadlines
Equity review: Monitors, organizes and documents materials for State Equity Review, district and/or others
District wide registration: Coordinates process for Central Office
Presents numerical data in a variety of graphical forms, as needed
Creates, maintains and manipulates spreadsheet files using appropriate formulas, as needed
Physical Requirements of Position: (HBV Yes No)
· Ability to ascend/descend stairs
· Ability to lift 50 lbs.
Special Qualification Desired: (Personal Qualities, Education, Skills Needed, Experience, Etc.)
· Documentation of extended learning experiences beyond high school diploma (e.g. Community College Classes/AA/BA)
· Five successful years of secretarial experiences
· Effective communication skills; expertise in written and verbal communication including correct grammar (test will be administered)
· Proficient skills in word processing, database, spreadsheet and graphing capabilities (test will be administered using Microsoft Office Products)
· Ability to work in an office team environment in effective, positive way
· Ability to participate/train in cross-training of "essential" skills for others in the office
· Ability to handle stressful situations in a calm manner
· Must be motivated to be of service to others
· Must be able to maintain strict confidentiality with written and spoken communication
· Ability to handle multi-task assignments with constant interruptions and changing deadlines
· Must be self motivated and able to work independently (able to quickly assess a situation with an appropriate response) |
