TITLE:                          Secretarial Support – Safe Schools Program

QUALIFICATIONS:          Minimum of 3-5 years of secretarial/management experience

                                     Strong technological background

                                     Proficient in Microsoft Office Programs

                                     Excellent organizational skills

                                     Proficient and detailed

                                     Customer and student centered

                                     Ability to maintain confidentiality

                                     Bi-lingual preferred

 FUNCTIONS:                    To serve as the Administrative Assistant of the school, coordinating daily functions and activities to assure smooth operations of the program.

REPORTS TO:                    Principal for Safe Schools Program

DESCRIPTION OF TASKS AND RESPONSIBILITIES:

General Duties

1.       Screens incoming calls and visitors and forwards messages to appropriate individual

2.       Serves as primary building greeter, directing visitors and students to appropriate building contacts

3.       Routes or answers correspondence not requiring supervisor attention

4.       Student Transportation Liaison

5.       Student Records Administrative Assistant ~ attendance; academics; others as required

6.       Compiles all student demographics for student performance records-indicators and outcome statistics for annual report(s) as directed

7.       Uses a personal computer, accompanying word processing, database, and related software to reproduce reports, charts, and other materials

8.       Prepares letters, memos, and other correspondence

9.       Compiles materials and assembles the necessary information for the Safe Schools Grant Application, Mid-Year and End-Year Reports to ISBE

10.    Assists with preparation of all Purchase Orders, financial record keeping, and purchasing.

11.    Assembles the necessary information for grant Applications

12.    Assists with complex and/or sensitive and confidential administrative projects

13.    Collects/maintains and complies reports on student attendance for Safe Schools program

14.    Other duties as assigned

     

Desirable Knowledge and Skills

The position requires considerable knowledge of business English, grammar, spelling, and punctuation, knowledge of department operations, forms, procedures and policies.  Computer knowledge is essential (Word, Excel, PowerPoint, Outlook, Publisher and specific student data programs) and peripheral equipment other skills include verbal and/or written communication, effectively dealing with others, exercising tact, good judgment and initiative.  Spanish language proficiency preferred.
