POSITION
DESCRIPTION:
The job of the
attendance clerk/secretary is established to provide a wide
variety of highly responsible, confidential and complex
administrative and secretarial duties for Peabody High School.
They are responsible for the student data in the school's
student information system, contacting parents for children
with absentees, dealing with the public, and other assigned
duties.
ESSENTIAL
Functions:
·
Be able to multitask as the general
receptionist in the main office (greeting the public, helping
students, taking phone calls, etc.)
·
Good communication skills, including:
talking messages; making announcements; sending emails; faxing,
copying and sending records/transcripts; receiving people into
the school; acting as secretary to the building principals
·
Proficient computer skills especially in
Microsoft Office (Word, Excel, etc.)
·
Be able to quickly learn new computer
skills, specifically in our student management system
·
Enroll new students
·
Organize data from various projects and
forms
·
Be able to organize and assist in different
projects (student handbooks, season tickets for football and
basketball, etc.)
·
Assist the Principal/Assistant
Principal/Guidance Counselor/Pupil Personnel Supervisor in
various areas of student information and data in the student
management system
·
Assist the school book keeper as
needed
·
Other duties as assigned by the
Principal/Administrators
JOB REQUIREMENTS:
Minimum
Qualifications
SKILLS are required to perform multiple tasks. Specific
skill-based competencies are required to perform the
functions of the job include: operating standard office
equipment including utilizing pertinent software
applications, preparing and maintaining accurate records, and
planning and managing projects.
KNOWLEDGE is required to read technical information, compose
a variety of documents, and/or analyze situations to define
issues and draw conclusions. Specific knowledge based
competencies to perform the functions of the job
include: business telephone etiquette and concepts of
grammar and punctuation.
ABILITY is required to schedule a number of activities;
gather, collate, and classify data. Flexibility is
needed to work independently or with others. Specific
ability-based competencies required to satisfactorily perform
the functions of the job include: adapting to changing
work priorities; communications with diverse groups;
maintaining confidentiality, meeting deadlines and schedules;
setting priorities; working as part of a team and working
with frequent interruptions.
