Temporary General Secretary - Technology
This temporary General Secretary position provides clerical support for the Helena School District's Technology Systems program and serves as a facilitator for the program/public being served in communicating information, problem solving, material acquisition and record keeping. Qualifications include: High School diploma or equivalent; one year of secretarial training or an equivalent combination of education, training,
and experience as determined by the district. Prior experience working in the area of technology services is desired but not required. Salary is $13.22 per hour.

SUMMARY: Serves as secretary
to the Technology Systems department and as facilitator for the program/public
being served in communicating information, problem solving, material
acquisition, and record keeping.
ESSENTIAL DUTIES AND RESPONSIBILITIES: Other duties may
be assigned.
Receptionist for
the Technology Systems Department.
Handle and direct
telephone traffic, take and deliver messages.
Initiate Help Desk tickets from telephone calls and provide
status updates to district staff.
Handle all departmental
mail processing.
Collect and
process payroll and attendance records for staff members.
Prepare and type
materials for supervisor and various technology services staff.
Assist with and
monitor technology equipment inventory.
Prepare, process,
track and monitor Technology Request Forms.
Prepare
requisitions and/or purchase orders for technology related equipment and supplies.
Order technology
equipment and supplies, working with various vendors and coordinating vendor
delivery schedules.
Monitors receipt
of equipment and supplies, distribute according to individual budget allotments
and properly inventory equipment.
Perform all
secretarial tasks assigned including typing, filing, and operation of various
office equipment.
Orientate
substitute employees.
May perform
other related tasks as assigned by supervisor.

QUALIFICATION REQUIREMENTS: To perform this job successfully, an individual must be

EDUCATION & EXPERIENCE:
High school
diploma or general education degree (GED); one-year experience and/or one-year
of secretarial training or an equivalent combination of experience and training
as determined by the district.
LANGUAGE SKILLS:
Ability to read
and interpret documents such as safety rules, operating and maintenance
instructions, and procedure manuals.
Ability to write routine reports and correspondence. Ability to speak effectively before small
groups of people.
MATHEMATICAL SKILLS:
Ability to add,
subtract, multiply, and divide units of measure using whole numbers, common
fractions and decimals. Ability to
compute rate, ratio and percent and to draw and interpret bar graphs.
REASONING ABILITY:
Ability to apply
common sense understanding to carry out instructions furnished in written, oral
or diagram form. Ability to deal with
problems involving several concrete variables in standardized situations.
OTHER SKILLS AND ABILITIES:
Ability to pass
a keyboarding test at 55 words per minute. Ability to operate common office
equipment; a personal computer and related software (spreadsheet and word
processing software is required).
Ability to get along with other people. Ability to develop effective
working relationships with students, staff and the school community. Ability to
communicate clearly and concisely, both orally and in writing. Ability to perform a multitude of tasks
concurrently while monitoring priorities, as necessary. Ability to perform duties with awareness of
all district requirements and Board of Education policies.
