POSITION DESCRIPTION
POSITION TITLE: Secretary V

SALARY SCHEDULE: General, Grade 10-$14.80
REPORTS TO: District Office Administrator
I. GENERAL DESCRIPTION
Assists and provides secretary services for one or more administrators. Prepares and maintains files, reports and records of a complex nature, involving administrative and confidential information. Performs specific clerical tasks for the administrators. Must maintain complete confidentiality of materials and information for the department or division. Answers specific inquiries and informs the administrator in charge of all pertinent information.
II. EXAMPLES OF DUTIES AND RESPONSIBILITIES
A. Prepares correspondence, form letters and other reports sometimes involving standardized data or information of a complex nature. Regularly composes letters of a standardized nature, based on general instructions.
B. Prepares and maintains appropriate files and records of an administrative, confidential and sometimes complex nature. Prepares reports from such records based on general administrative instructions.
C. Arranges appointments, makes reservations, takes calls and answers inquiries. May frequently take notes during administrative meetings.
D. Provides additional clerical support to relieve key administrative personnel of minor administrative details.
E. May assume responsibility for assignment and review of work assigned to other office employees.
F. Performs other work as directed or required.
III. TRAINING, SKILLS, AND EXPERIENCE REQUIREMENTS
A. Training and experience should be the equivalent of that normally received by graduation from high school with two or three years of diversified clerical and/or secretarial experience. Supervisory experience and college work considered desirable.
B. Considerable knowledge of modern office practices, procedures and of business English, spelling and related subjects.
C. Ability to establish and maintain effective working relationships with district personnel at all levels.
D. Ability to meet the public and other visitors to the district and/or schools and to create highly positive impressions in doing so.
E. Ability to exercise good, sound judgment in making minor decisions with only general administrative instructions.
F. Must have considerable skill in keyboarding and experience with computer software such as Microsoft Word, Excel, and Windows.
G. Must be able to operate photocopying machinery, fax machine, computer keyboard, printer, calculator, and other office machinery, and perform alphabetizing and filing tasks.
H. Must be able to type 40 words per minute with accuracy.
