I.               TITLE:   Receptionist/Telephone Operator

 

II.            QUALIFICATIONS:

 

A.            High School Diploma preferred.

B.            Working knowledge of telephone and switchboard systems currently in use.

C.            Ability to answer calls with a well-modulated voice, with good grammatical construction and choice of words.

D.            Proficient in Word, Excel, and Outlook.

E.             Strong clerical skills.

F.             Ability to work constructively with staff, students, and the public.

G.            Previous experience preferred, but not mandatory.

H.            Such alternatives to the above qualifications as the Board may find appropriate and acceptable.

 

III.          REPORTS TO:   Director of Human Resources and Finance.

 

IV.         JOB GOALS:

 

         To support the delivery of School District 91's written, taught, tested and reported curriculum and contribute to maximizing student achievement.

 

 To contribute to effective school-community relations by prompt and courteous handling of all inquiries and visitors.

 

V.            ESSENTIAL DUTIES AND RESPONSIBILITIES:

 

A.            Greets all visitors courteously, determines their needs, checks appointments, and directs or escorts them to the proper person.

B.            Receives incoming telephone calls and routes to the appropriate destination.

C.            Answers non-technical questions and refers other inquiries to designated office personnel.

D.            Delivers faxes and other information as needed and sends faxes when requested.   Maintains fax machine and orders supplies as needed.

E.             Takes transcript orders and receives payment.  

F.             Takes and delivers messages for office personnel when they are unavailable.

G.            Performs clerical tasks and projects as requested.

H.            Scans records and other information.   Checks for completeness and then shreds scanned materials.

I.               Schedules boardroom and conference rooms for meetings and other uses.   Maintains and updates daily list of room schedules.

J.              Distributes employment paperwork to new employees and schedules appointments as directed.

K.            Schedules substitute interviews and provides clerical support for the substitute teacher program.

L.             Assists with job opening inquiries and gives online application assistance.   Maintains and updates the job posting bulletin board.

M.           Creates and updates telephone extension directories for District use.

N.            Scans and returns expiring certificates to certified staff members with a reminder to recertify.   Scans and returns certificates and official transcripts to certified staff members leaving the district.

O.            Completes Drivers Education verification of compliance forms for students.

P.             Unlocks and locks the doors of the Administration Office and ensures that lights are turned off.

Q.            Reports problems with the telephone system and arranges non-technical repair services.

R.            Orders perfect attendance certificates and prepares them for distribution near the end of the school year.

S.             Obtains the school supply list for each elementary school.

T.             Has regular and predictable attendance.

U.            Maintains high standards of ethical behavior and confidentiality.

 

VI.         OTHER DUTIES AND RESPONSIBILITIES:

 

A.            Assists the Payroll Department as requested.

B.             Retrieves and makes copies of student records in a timely manner as requested by authorized persons.

C.       Performs all other duties as assigned.

 

VII.       TERMS OF EMPLOYMENT:

 

        This position is scheduled for 8 hours per day and has a year round schedule.   Benefits will be in accordance with approved Board policy.   Wages will be in accordance with the Classified Salary Schedule as a Grade 5 - $11.53 or $12.11 per hour depending on experience.

 

         This is an "at will" position in that the employer or employee may terminate employment at any time or for any reason consistent with applicable state or federal law.   The "employment at will" policy cannot be changed verbally or in writing, unless the change is specifically authorized in writing and expressly approved by the Board of Trustees of District 91.

 

VIII.    EVALUATION:

 

         Performance of this position will be evaluated annually by the Director of Human Resources and Finance in accordance with the provisions of the Board's policy on the evaluation of classified personnel.

 

         This position has been given an overall physical classification of light duty.

 

           

This position is performed indoors.   The majority of the time is spent sitting at a desk, greeting visitors, working on the computer, answering the telephone, completing paperwork and scanning documents.   Movement within the office is required to deliver documents and messages and gather information as needed.
