QUALIFICATIONS

  • Accredited High School Diploma or Equivalent (U.S.A. equivalency) and five years of related experience
  • Ability to successfully complete assignments with general supervision
  • Ability to maintain accurate records and prepare accurate and timely correspondence
  • Problem solving/ investigative skills to research and respond to inquiries
  • Ability to effectively interact with all levels of district personnel and the public
  • Proficient in Microsoft Office P rofessional
  • Organizational, prioritization, customer services, and interpersonal skills required to achieve the goals of the position

 

BASIC FUNCTIONS

  • Organize and manage routine office work activities of the office
  • Maintain a schedule of appointments and arrange appointments, conferences, and interviews for executive director
  • Process routine correspondence including documents for approval
  • Maintain payroll and budget for the department
  • Monitor and process personnel time cards including leave requests and reports
  • Order and maintain supplies
  • Acquire signatures from Legal, Purchasing, and upper level management for all documents processed through the teaching and Learning division including P1-C's, budget transfers, memos, letters, rationales, staff recommendations, and grant applications
  • Provide regular feedback to the executive director regarding the status of projects or issues
  • Provide general information to employees, parents and the public
  • Prepare correspondence, forms, spreadsheet reports, etc. for the department head
  • Maintain physical and computerized departmental files
  • Answer incoming calls, take reliable messages, and route to appropriate staff
  • Perform all other tasks and duties as assigned
