JOB TITLE: SCHOOL
BOOKKEEPER
GENERAL STATEMENT OF JOB
Under occasional supervision, performs various
routine-to-moderately complex bookkeeping and clerical work to
ensure efficient and effective school fiscal operations.
Provides assistance to supervisor,
co-workers, students and the general public as required. Reports
to the Principal.
SPECIFIC DUTIES AND RESPONSIBILITIES
ESSENTIAL JOB FUNCTIONS
Compiles
data for and prepares the school's annual budget.
Collects,
receipts, records and deposits various school revenues; prepares
billing invoices as required; maintains individual accounts as
assigned, including pupil activity accounts.
Obtains
price quotes and verifies available funds for equipment, supplies
and materials; prepares purchase orders; processes invoices for
payment.
Manages the
use of purchasing cards.
Maintains
accurate and up-to-date vendor records; communicates with vendors
as needed to obtain pricing and availability information,
expedite orders and resolve billing discrepancies.
Maintains
inventory of office supplies.
Processes
district forms for transferring of funds as needed.
Distributes
staff paychecks.
Processes reimbursement requests, travel vouches, etc.
Maintains
accurate and up-to-date ledgers and other financial records;
prepares monthly and annual financial reports as required by the
school and District; balances bank statements.
Prepares
records for internal and external audits.
May perform
routine bookkeeping and reporting duties for assigned grants.
Performs
computer data entry to record and retrieve information; generates
spreadsheets and other computer reports as required.
Assists
supervisor and other department staff by performing a variety of
clerical duties, which may include but are not limited to typing
routine reports and correspondence, copying and filing documents,
collating materials, sending and receiving faxes, maintaining
logs and lists, processing daily mail,
etc.
Answers the
telephone; provides accurate information to callers and/or
forwards calls to appropriate staff person.
Greets office visitors and performs
customer/public service duties as required.
Responds to
inquiries and requests for assistance in areas of
responsibility.
Operates and
maintains a variety of equipment, which may include a computer,
printer, scanner, typewriter, copier, fax machine, telephone,
two-way radio, paper shredder, postage machine, etc.; uses
clerical, computer and bookkeeping supplies.
Interacts
and communicates with a variety of individuals and groups, which
may include the immediate supervisor, other school administrators
and staff, District staff, students, parents/guardians, sales
representatives, various outside organizations and professionals,
and the general public.
ADDITIONAL JOB FUNCTIONS
Assists other clerical staff with duties as necessary.
Monitors students during classes and other activities in the
absence of teacher; assists with bus / end-of-school duties as
assigned.
Assists in
setting up for special events and activities.
May perform
special duties as related to assigned school, including but not
limited to assisting with registration procedures, managing free
and reduced lunch accounts, etc.
Performs related duties as required.
MINIMUM TRAINING AND EXPERIENCE
Requires an
Associates Degree in related field, supplemented by one to two
years of general bookkeeping experience, or an equivalent
combination of education, training and experience that provides
the required knowledge, skills and abilities.
Must be able to type with speed and
accuracy. Must possess a valid state driver's
license.

Physical Requirements
: Requires sedentary work that involves walking or standing some
of the time and involves exerting up to 10 pounds of force on a
recurring basis or routine keyboard operations.

Requires the ability of speaking and/or

Requires the ability to read a variety
of policy and procedure manuals, computer manuals, budget
documents, invoices, financial documents, etc. Requires the
ability to enter data into computer and prepare reports,
correspondence, budget documents, etc., with proper format,
punctuation, spelling and grammar, using all parts of
speech. Must be able to speak with poise, voice control and
confidence and to articulate information to others.

Requires the ability to apply rational
systems to solve practical problems and deal with a variety of
concrete variables in situations where only limited
standardization exists; to interpret a variety of instructions
furnished in oral, written, schedule, mathematical or
diagrammatic form. Requires the ability to make routine

knowledge of topics related to primary occupation. Must
have the ability to comprehend and interpret received information
and the ability to comprehend and implement basic office
machinery functions.

and decimals, to determine time. Must be able to use
practical applications of fractions, percentages, ratio and
proportion.

:
Requires the ability to inspect items
for proper length, width and shape, and visually read various
information.
Motor Coordination
:
Requires the ability to coordinate
hands and eyes rapidly and accurately in using automated office
equipment and communications machinery.
Manual Dexterity
:
Requires the ability to handle a
variety of items including computer keyboards, office equipment,
control knobs, switches, etc. Must have minimal levels of
eye/hand/foot coordination.
Color Discrimination
: Requires the ability to differentiate between colors and shades
of color.
Interpersonal Temperament
:
Requires the ability to deal with people
beyond giving and receiving instructions. Must be adaptable
to performing under moderate stress when confronted with an
emergency or tight deadline. The worker is subject to tension as
a regular, consistent part of the job.
Physical Communication

Requires the ability to talk and
hear: (talking: expressing or exchanging ideas by means of
spoken words; hearing: perceiving nature of sounds by
ear). Must be able to hear and understand communications
through a telephone.

policies and procedures of the School District pertaining
to specific duties of the School Bookkeeper. Is knowledgeable in
the laws, ordinances, standards and regulations pertaining to the
specific duties and responsibilities of the position. Has

interpret and apply regulations, procedures and related
information. Has thorough knowledge of modern office
practices, procedures and of business English and arithmetic. Is

technical and financial documents and related materials
pertaining to the responsibilities of the job. Is able to

financial records following District policies and procedures. Is

office equipment as necessary in the performance of daily
