JOB TITLE: Administrative Assistant 2C – Human Resources
JOB PURPOSE: Perform critical functions to support student achievement and district operations
BASIC FUNCTION: This position will provide human resources/clerical support in the Human Resources Office with a major emphasis on the entering data into the PHRST system, scheduling meetings and reviewing paperwork with new hires and retirees, processing new hires, processing retirees, completing board authorizations, transferring of records, employee verification, and collaborating with payroll. Other duties may be assigned as determined by the supervisor and/or their designee.
CHARACTERISTICS, DUTIES AND RESPONSIBILITIES:
- Process all new hire paperwork, location changes, assignment changes, and other pertinent changes to an employees record into the PHRST system in a timely and efficient manner.
- Schedule meetings with new hires in a timely manner to assist in a successful onboarding process.
- Communicate with new hires regarding new hire paperwork, inclusive of salary and verification of experience information.
- Communicate with eligible retirees and process pension related paperwork.
- Complete board authorizations as scheduled to ensure entry into personnel board reports.
- Maintain confidentiality of information regarding employees.
- Ability to work with minimal supervision.
- Ability to determine priorities and coordinate workload to meet schedules and deadlines.
- Operate computer and other standard office machines (calculator, fax, and copier).
- Familiarity with PHRST system preferred.
- Communicate with outside agencies to receive and transfer employee electronic records.
- Research files to accurately prepare employee verification.
- Organizational skills and attention to detail.
- Maintain updated user expertise for required applications, databases and office machines.
- Seek and attend opportunities to improve proficiency.
- Other related duties as assigned.
Qualifications:
High School Diploma or GED.
Familiarity with PHRST system preferred.
Three years of successful secretarial/clerical/accounting work experience with aspects of accounting, bookkeeping, or statistical duties.
One year business school training or one additional year office experience with concentration on numerical functions.
Ability to work with accuracy and perform various mathematical functions with accuracy.
Ability to type with accuracy of 55 words per minute.
Computer training and experience required. Knowledge of Excel and Microsoft Word mandatory.
Ability to perform numerical and other related aspects of position.
Ability to coordinate workload to meet schedules/deadlines.
Ability to exercise good judgment, discretion, and confidentially.
Ability to work cooperatively with others.
Good attendance record.
