POSITION:     Coordinator of Benefits and Compliance
 
Salary/Hours:                                     
  • Pay scale: Grade 14
  • Position Length: 12 months
  • Hours: Full time unless otherwise specified
 
JOB SUMMARY: We are seeking a detail-oriented and knowledgeable Coordinator of Benefits and Compliance to oversee employee benefits administration, compliance, and related HR functions. This role ensures employees receive accurate and timely support regarding their benefits while maintaining compliance with state and federal regulations. The ideal candidate will have experience in benefits administration, retirement counseling, compliance monitoring, and employee education.
 
KNOWLEDGE, SKILLS AND ABILITIES:
  • Human Resources or School District Office experience required.
  • Bachelor’s degree required; Master’s degree preferred. Endorsement in School Administration preferred.
  • Ability to provide financial analyses of benefit accounts.
  • Strong analytical skills and a thorough knowledge of benefit plan options.
  • Knowledge of all pertinent federal and state regulations, filing and compliance requirements regarding employee benefit programs, including ERISA, COBRA, FMLA, ADA, Workers’ Compensation, Medicare, etc.
  • Experience in coordination of employee benefit programs.
  • Experience balancing multiple priorities and meeting established deadlines.
  • Knowledge and understanding of practices, laws, and regulations related to payroll processing for a government or corporate entity including Fair Labor Standards Act, and taxation of employer paid benefits.
  • Excellent verbal, written, and interpersonal communication skills.
  • Ability to maintain confidentiality.
 
PRINCIPAL RESPONSIBILITIES AND DUTIES: (including but not limited to the following)
 
  • Serve as the initial contact for employee benefit inquiries, providing support and resolution for concerns and administrative issues.
  • Support the full open enrollment cycle, including renewal planning, rate calculations, coordination with VRS and third-party administrators, employee and retiree communication, election tracking, and documentation management.
  • Identify, monitor, and improve processes impacting benefit administration and employee programs.
  • Provide support for employees preparing for retirement.
  • Act as a secondary liaison for plan vendors, third-party administrators, and consulting groups.
  • Coordinate the transfer of data for services, premium payments, and plan administration, ensuring timely and accurate reporting for internal audits and annual reports.
  • Manage benefit terminations and communication for departing employees.
  • Monitor benefit program costs, recommend cost-containment strategies, and assist in budget preparation, verification, and reconciliation.
  • Lead and manage employee education program around available benefits.
  • Lead benefits committee.
  • Ensure compliance with government regulations and oversee the accuracy and timeliness of required filings.
  • Manage unemployment reconciliation and payments, attending hearings as needed.
  • Maintain compliance with school laws, State Board of Education regulations, and district policies.
  • Support employee education programs, including New Teacher Orientation.
  • Oversee workers' compensation processes.
  • Assist in recruitment efforts as needed.
 
 
PHYSICAL REQUIREMENTS
 
Must have the ability to effectively communicate and interact with other staff and the public through the
use of the telephone and personal contact as normally defined by the ability to see, read, talk, hear, handle, or feel objects and controls. Physical capability to effectively use and operate various items of office related equipment such as, but not limited to, a personal computer, calculator, copier, and fax machine. Some climbing, stooping, kneeling, crouching, reaching, standing, walking, pushing, pulling, lifting, grasping, and repetitive motions will be required.
